Receptionist/Office Assistant – Salem, OR

Position Overview
Schwabe, Williamson & Wyatt is seeking a full-time Receptionist/Office Assistant in the Salem office. This position will be in-office from 8:00 am – 5:00 pm, Monday through Friday.

The Receptionist/Office Assistant must deliver excellent internal and external client service in a professional manner. In addition, this position requires the ability to learn and utilize computer software, follow instructions carefully and accept a full variety of projects, work on multiple projects simultaneously, and meet deadlines as assigned.

This position requires strong customer service skills, strong computer skills, and a high level of organization and accuracy with attention to detail. The successful candidate will be able to turn work around quickly, possess strong oral and written communication skills and be a self-starter with a positive attitude who enjoys a team environment.

Essential Duties:

  • Greeting clients and visitors, answering phone calls, processing incoming and outgoing mail ‎and deliveries
  • Assist with copy and scanning projects
  • Assist with large mailings, prepare UPS slips for overnight delivery
  • Assist with meeting preparation
  • Electronic file management, including saving emails, email transmittal of correspondence, ‎and other documents
  • Errands such as delivery or pick-up of documents, supplies, mail, etc.‎
  • Handle and trouble-shoot audio/video conference systems
  • Organize and schedule conference room appointments
  • Oversee the day to day operations of the office, which may include maintaining/ordering ‎office supplies, as well as coordinating office repairs
  • Coordinate and order catering for lunches and events
  • Log deliveries and pick-ups
  • Maintain schedules for visiting attorney offices
  • Opening, scanning, and processing incoming mail or saving to iManage
  • Prepare expense reimbursements and travel arrangements
  • Transcription
  • Other duties as assigned

Position Overview:
Schwabe, Williamson & Wyatt is seeking a full-time System and Security Administrator in our Portland, OR office. Schwabe has a hybrid work policy allowing employees to work from home Monday and Friday while working in the office Tuesday through Thursday.

The System and Security Administrator is a critical member of the IT administrative team responsible for managing and maintaining the firm’s desktop environment and supporting cybersecurity operations. This role involves desktop imaging, application deployment, software updates, and troubleshooting software issues. Additionally, the position supports the firm’s cybersecurity strategy, ensuring systems are secure, compliant, and resilient

Key Responsibilities:

  • Deploy and manage desktop applications using SCCM (or equivalent tools), Group Policy, and login scripts.
  • Build, manage, and maintain desktop images, including monthly refreshes and remote access environments.
  • Provide Tier 2 support for escalated Help Desk tickets, ensuring timely resolution and excellent service.
  • Support the firm’s cybersecurity program, which includes threat detection and response, risk assessments, and incident response and business continuity plans.
  • Implement and manage security protocols, including endpoint protection, MFA, encryption tools, and identity management.
  • Monitor and respond to security alerts and facilitate updates to servers and workstations.

Requirements:

  • Minimum 7 + years of experience in system/network administration and cybersecurity.
  • Bachelor’s degree in Computer Science, Information Security, or related field;.
  • Proficiency with Windows Server, Active Directory, SCCM, Microsoft 365, and network infrastructure; and network security protocols.
  • Experience with supporting remote access environments, SIEM tools, and endpoint detection platforms; and scripting.
